The Challenges

Before Joyfill, ITM4G built its inspection forms by hand in Excel and converted them to PDF — a slow process with no central repository. Completed reports lived on a physical server, and some were lost in the move to the cloud. For a company whose core business is multi-year inspection, testing, and maintenance (ITM) contracts on fire alarm and suppression systems, that meant critical records could be hard to locate — or gone.

The business also runs across multiple satellite locations, each with its own forms and standards, and a small team with no dedicated administrative staff to keep it all organized.

The Solution

ITM4G moved its inspection reporting onto Joyfill and now builds forms exactly to the standards each contract requires. Recurring inspections start from the previous submission rather than a blank form, so technicians aren't rebuilding reports or re-keying the same building and device details every visit. Crews complete work on iPads in the field — including in the low- and no-signal facilities common to government sites — using Joyfill's offline mode, then sync once they're back online.

Each location runs in its own isolated Joyfill account, keeping sites cleanly separated while still letting the team copy and adapt a strong form from one location for use at another. Finished reports are stored centrally and shared with clients by link.

The Results

Every inspection report now lives in one place and can be retrieved on demand — including legacy records from the company's DocSpace era that predate the move to Joyfill. Recurring inspections that were once rebuilt from scratch now start from the last visit, saving the team meaningful time on repeat work. And because the mobile app works offline, field crews stay productive regardless of signal.
