The Challenges
Fire Service Pros started in burglar alarms and expanded into fire alarm installation, kitchen suppression systems, hood cleaning, extinguishers, and backflow testing. Everything they touch has to be inspected again on a cycle — extinguishers annually, alarms every six months, hoods every three months — which means the paperwork never stops.
The old way was printing every form and filing it in a cabinet. Finding a two-year-old report meant tracking down the physical folder, and records for a single large account could fill file cabinets on their own. A report that came back from a hood cleaning at midnight came back looking like it had been at a hood cleaning at midnight.
The company also needed records to hold up in front of fire marshals across multiple states. Handwritten forms invite questions about how the business is run, and those questions cost time on every submission.
With technicians working nights and the owner often traveling, paper created a second problem: reports sat wherever the technician left them. A customer calling for a report could not be served unless someone was physically in the office to find it.
The Solution
Fire Service Pros moved their inspection paperwork onto Joyfill. The team uses Joyfill's own form library plus custom forms — some uploaded by the company and some built for them by Joyfill at no charge, with no onboarding fee and no contract, which is the main reason they have stayed through repeated pitches from competitors asking for three-year agreements.
Technicians complete forms on their phones in the field and sync them in. The interface is simple enough that a new hire with no technical background can work through a form and select what applies. Photos attach to the record, and completed reports go out from the field or from the office.
Because records are web-based, anyone on the team can search a site by name, filter by service type, and pull a report from any computer — including reports going back to the company's first year on the platform. The owner reviews every technician's reports each morning, checks the photos, bills the job, and sends the report with the invoice in the same pass.
The company is now adopting Joyfill's Import Previous Submission feature for recurring inspections, which carries a prior year's devices, deficiencies, and comments into a new submission so technicians update a report rather than rebuild it.
The Results
One national restaurant account grew from 19 stores to 135 within a year, with 89 more scheduled to come on in January. The customer's own explanation was report availability: they no longer have to track anything down, because the report is already there when they go looking for it.
Inspection records that once required file cabinets per customer now live in a searchable archive the whole team can reach. A report from years back can be pulled in seconds, from any computer or mobile device, without anyone standing in the office.
Forms arrive at fire marshals looking professional, and they come back without questions — rarely does anyone call to ask what the company is doing. Fire marshals across the company's territory have become an informal referral source.
For a fire protection contractor, the record is the product. Being able to produce a clean, complete inspection report on demand is what keeps large accounts renewing and expanding.
