The Challenges

Before Joyfill, every inspection report started as a blank Excel sheet. The team filled it out from scratch on the fly, every single time, then saved a copy for the following year. Building a report that way took hours, and the format had to be rebuilt whenever a new customer or a new type of system came along.

Everything downstream of the report was manual too. Signed documents had to be scanned before they could be stored, which meant a second pass on paperwork that was already finished. Completed inspections lived as hard copies in file folders and cabinets, so retrieving one meant physically digging through a file.

The Solution

Inspection reports, service acknowledgments, and device lists are all built from customized forms, and the prebuilt form library covers system types the company added later — when a customer asked about extinguishers, the form was already there and ready to be branded.

Auto-fill removed the repetitive part of annual inspections. Instead of rebuilding a sheet, technicians open a blank copy of last year's form, pull the prior information forward, update the dates, and move on. Excel imports populate device data from manufacturer reports directly into the form.

In the field, technicians pull up the app, select the customer and site, complete the form, and have the customer sign right there on the phone or iPad. There is no scanning step, and no separate storage step — the signed document is captured and stored the moment it's finished. Reports can be emailed to a customer from the job site.

Custom statuses tie the field work to the back office. The owner marks a completed job "ready to invoice," and the office manager filters on that status each morning to pull everything ready for QuickBooks billing. Other statuses flag scheduled work and assign jobs to specific technicians, so each person can filter to their own queue. Joyfill and QuickBooks are the only two pieces of software the business runs on.

The Results

The company estimates Joyfill saves 10 to 15 hours a week compared to its previous paper-and-Excel process. Annual inspection reports that once took hours to assemble now take a couple of minutes.

The time comes back from several places at once: no rebuilding forms, no scanning signed documents, no filing or retrieving hard copies, and no driving back to the office to produce a report someone needs right now. A fire marshal standing on site gets the inspection report emailed to them before the technician leaves.

Billing moved from memory to a filter. Because status is set on the form itself, the office manager can see the day's invoicing queue the moment she opens Joyfill, rather than waiting for a month-end reconstruction of what was actually completed.
